How to Assign a Team Member to a Filing
You can assign internal team members to filings to help manage review responsibilities, ownership, and coordination throughout the filing lifecycle.

When to Use Filing Assignment
Assign a team member when you want to:
- Delegate filing ownership
- Assign reviewers for approval requests
- Improve internal accountability
- Coordinate filing-related activities across your organisation

Where Assignment Is Available
Where applicable, filings include an:
Assign
CTA directly within the filing row.
Assignment is available across filing workflows where ownership or review responsibility can be assigned, including:
- Approval Requests
- Current Filings
- Annual View
Assigning a Team Member
Step 1 — Locate the Filing
Navigate to the relevant filing section and locate the filing you want to assign.
Examples include:
- Approval Requests
- Current Filings
- Annual View
Step 2 — Click “Assign”
Click the:
Assign
CTA within the filing row.
This opens a dropdown containing all configured team members linked to your organisation.
Step 3 — Search Team Members (Optional)
Inside the dropdown:
- Use the search field to quickly locate a team member
- Search by:
- Name
This is especially useful for organisations with larger teams.
Step 4 — Select a Team Member
Select the desired team member from the dropdown list.
Once selected:
- The filing is immediately assigned
- The selected user replaces the:
Assign
CTA within the row
The selected team member is now associated with the filing.
Updating an Existing Assignment
Assignments can be updated at any time.
To change the assigned user:
- Open the assignment dropdown again
- Select a different team member
- Replace the existing assignee
This allows ownership to shift as workflows progress.
Adding New Team Members
If the required team member is not available in the dropdown:
Contact the Addition Compliance (AC) team.
The AC team will:
- Add the new team member
- Configure portal access (if required)
- Assign operational roles and linked entities
Once configured, the user becomes available for assignment.
- Only configured team members appear in the assignment dropdown
- Team members are managed centrally by the Addition Compliance team
- Assignments help track responsibility and coordination
- Assigning a filing does not automatically change user permissions or portal access
- Some filings may already contain pre-assigned owners
Common Mistakes to Avoid
- Assigning filings without confirming ownership internally
- Assuming assignment automatically grants portal access
- Forgetting to update assignments when responsibility changes
- Searching for users who have not yet been configured by AC
To manage assignments effectively:
- Assign filings early in the workflow
- Keep ownership clear and updated
- Review assignments periodically
- Coordinate new user additions with AC before filing deadlines
- Use search when managing larger teams
What Happens Next
Once assigned:
- The selected team member becomes responsible for monitoring or reviewing the filing
- Assignments are visible directly within filing grids
