How to Add a Self-Managed Filing Schedule
Self-Managed Filing Schedules allow you to track compliance obligations that are managed internally and not handled directly by the Addition Compliance (AC) team.
You can use this feature to:
- Track one-time or recurring filings
- Create custom reporting schedules
- Monitor future filing obligations in the Reporting Calendar
Self-managed schedules are:
- Managed entirely by your organisation
- Used for tracking purposes only
- Included in the Reporting Calendar alongside AC-managed filings
These schedules do not trigger AC preparation or submission workflows.
Creating a New Filing Schedule
Step 1 — Open Self-Managed Filing Schedules
Navigate to:
Reporting Calendar → Self-Managed Filing Schedules
Then select:
Add New Filing Schedule
Step 2 — Enter Filing Information
Provide the basic filing information, including:
- Filing Name
- Filing Entity (IM / Fund or custom entity name)
- Reporting Type
- Reporting Jurisdiction
The Filing Entity field accepts free text input and can be customized based on your operational structure.
Configure Filing Recurrence
Recurrent Filing Toggle
This setting controls whether recurring filing cycles are generated automatically.
When Enabled
If recurrence is enabled:
- The system automatically creates recurring filing instances
- Filing cycles are generated using the selected reporting frequency
When Disabled
If recurrence is disabled:
- Only a single filing instance is created
- No future filing cycles are generated automatically
Reporting Frequency
Select how often the filing occurs.
Supported frequencies may include:
- Monthly
- Quarterly
- Semi-Annual
- Annual
- Other supported recurrence options
Reporting frequency determines how future filing cycles are generated over time.
Configure Submission Timeline
Submission Due Date
Set the filing submission deadline.
This date is used to:
- Calculate filing timelines
- Generate filing cycles
- Determine automatic status changes
Days Before Submission
Define how many days before the submission due date the filing becomes active.
This controls automatic status transitions such as:
- Upcoming
- In Progress
Example
Submission Date: 30 JuneDays Before Submission: 15
The filing automatically becomes active 15 days before the submission deadline.
Reporting Type Options
You can:
- Select an existing AC-managed reporting type
- Or create a custom reporting type
Custom reporting types:
- Are saved automatically
- Become available for future schedules
- Behave like standard reporting categories
Additional Notes
Optional notes may also be added for:
- Internal instructions
- Filing reminders
- Operational comments
- Additional tracking context
Notes are free text and used for internal reference only.
Save the Filing Schedule
Once configuration is complete:
- Select Save
- The system creates the filing schedule
- Future filing cycles are generated automatically if recurrence is enabled
The filing then becomes visible within:
Reporting Calendar
How Status Works Automatically
Filing statuses are calculated automatically using:
- Submission due date
- Configured start window (Days Before Submission)
Possible Statuses
| Status | Meaning |
|---|---|
| Upcoming | Filing has not yet reached its active start window |
| In Progress | Filing is currently active |
| Completed | Submission timeline has passed |
No manual status updates are required.
Editing Existing Schedules
Existing schedules can be edited, but some core configuration fields become locked after creation.
Important Editing behaviour
When editing a schedule:
- Existing generated filing cycles are deleted
- New filing cycles are regenerated using updated configuration
- Some recurrence-related fields may be disabled
Review updates carefully before saving schedule changes.
- Self-managed filings are tracking-only workflows
- They appear alongside AC-managed filings in the Reporting Calendar
- Custom reporting types remain available for future schedules
- Recurring schedules automatically generate future filing instances
Common Mistakes to Avoid
- Enabling recurrence for one-time filings
- Setting incorrect submission deadlines
- Frequently editing schedules after cycles are generated
- Forgetting that editing resets generated filing cycles
Best Practices
To manage self-managed schedules effectively:
- Use clear filing names
- Review generated cycles periodically
- Configure realistic “Days Before Submission” values
- Use consistent reporting types across schedules
- Validate recurrence settings carefully before saving
Self-managed filing schedules are best used for:
- Internal compliance tracking
- Independent operational filings
- Recurring reporting obligations
- Supplemental filing visibility outside AC workflows
